What registration changes on the morning it is granted
A GSTIN means the portal will expect returns, a proper invoice, and payment through the cash and credit ledgers for that registration. It does not choose your HSN rates, and it does not forgive supplies you made earlier if the law already required you to be registered. Read if the credit chain is still hazy, then come back to the application.
Most businesses take one registration in each state or Union territory where they are required to register. The application also offers other registration types, such as a casual taxable person, a non-resident taxable person, an input service distributor, or a person who deducts or collects tax at source. Pick the type that matches the facts. The dashboard that follows is not the same for every type.
How the application moves on the portal
New registration starts on the GST portal without a full login. Part A takes the PAN, the mobile number, and the email, and it confirms them with one-time passwords. When that succeeds, the portal issues a temporary reference number. You use that reference to open Part B, save the draft, and come back. Treat the reference as a secret: anyone with it and the OTP channel can see the draft.
Part B is the full application. You enter legal and trade names, the constitution of business, promoters or partners, the principal place of business, any additional places, the goods and services you supply, bank details, and the authorised signatory. You upload the documents the screen asks for after you select the constitution, and you sign the verification. On successful submission the portal generates an application reference number, the ARN.
The temporary reference and the ARN are not the GSTIN
The temporary reference only reopens a draft. The ARN only proves the application was submitted. Neither number goes on a tax invoice. Status after submission is visible on the portal: pending, pending for clarification, approved, or rejected. If the officer raises a query, the same login shows the notice and the date by which you should reply. Missing that reply is a common reason a clean business waits longer than it needed to.
Documents the screen asks for
There is no universal bundle that every constitution uploads. A proprietorship, a partnership, a company, and a trust prove their existence with different papers. The application shows the list after you choose the constitution. Typical groups are proof of constitution, identity and address of the people behind the business, proof of the place of business, bank proof, photographs, and a letter of authorisation for the signatory.
Match every document to the field it supports. The address on the electricity bill or consent letter should be the address you typed. The legal name should match the PAN and the constitution document. Blurry uploads and names that differ by a spelling are the usual queries. Scan them so a stranger can read them, and keep a folder of exactly what you uploaded against the ARN.
A designer registering from one city
Arun edits video for companies from a rented room in Bengaluru. His clients are in India, he crosses the line at which he must register, and he has no branch in another state. His application is an ordinary registration in that one state: his PAN, the rented room as the principal place, his bank account, and himself as both proprietor and signatory. He does not invent a second state because a client sits there.
He saves the ARN, replies the same day if a query asks for a clearer rental proof, and downloads the registration certificate when the status turns approved. The certificate states the GSTIN and the date from which registration is effective. Invoices from that date carry the GSTIN. Invoices before that date stay in a separate note so they are not quietly rewritten as tax invoices. The is the next page he should read before he prints letterhead.
What starts on the effective date
From the effective date, outward supplies that are taxable are invoiced under the GSTIN and reported in the return that matches the registration type. A regular taxpayer’s outward details go through the statement described in the , and tax is paid with the summary return. A composition taxpayer, an input service distributor, or a TDS deductor follows the return tiles on their own dashboard. Do not borrow a neighbour’s form list.
Set the invoice series, the credit-note series, and the person who may issue them. Tell the bank and the accounting tool the new GSTIN. If you were already collecting money under an unregistered arrangement, decide in writing how those open invoices will be treated. Guessing inside the first return is how the second return becomes an amendment exercise.
A registration checklist
Move in this order. 1. Confirm that registration is required, or that you are choosing it voluntarily, and write the reason in the file. 2. Keep PAN, mobile, and email ready and able to receive passwords. 3. Complete Part A and store the temporary reference offline. 4. Fill Part B from the constitution documents, not from memory, and upload the list the screen shows. 5. Submit, store the ARN, and diary any query deadline. 6. On approval, download the certificate, record the effective date, and only then issue a tax invoice. 7. Open the return dashboard and name the first period you must file.
If you are still unsure whether step 1 is true, stop and read . Applying “just in case” creates a live GSTIN and a return calendar. That can be the right commercial choice. It should not be an accident.
Amendments, rejection, and cancellation
Some fields can be edited from the login with little friction. Legal name, the place of business, and the people responsible for the business usually wait for the officer to accept the amendment. The amendment screen marks the path. Keep the approval order with the original certificate so the file shows which address was true in which month.
Rejection is a status, not an insult. Read the reason, correct the document, and apply again if the liability remains. Cancellation is a separate application later, used when the business stops or the law allows you to exit. Until cancellation is approved, assume the return calendar still runs. The practises this sequence on the screens, including how to read a query without panicking.
Frequently asked questions
Is the ARN the same as the GSTIN?
No. The ARN acknowledges the application. The GSTIN is issued only when registration is granted, and it is printed on the registration certificate together with the effective date.
Can I start a tax invoice while the application is pending?
Not with a GSTIN you do not have yet. Track the status. If the law already treats you as liable from an earlier date, record that date and take advice on how to regularise it. Do not invent a number.
Do I need a separate registration in every state where a customer lives?
Customer location and your place of business are different questions. You register where the law requires you to be registered. A customer in another state does not, by itself, create a branch.
How long does approval take?
The rules set a window and the portal shows the live status. Queries pause the comfortable timeline. This article does not quote a number of days, because you should read the screen and the rule in force.
What if my legal name and trade name differ?
Enter both in the fields provided. The legal name should match the PAN and the constitution document. The trade name is the name you actually sell under. Invoices should not invent a third spelling.
Does registration choose the composition scheme for me?
No. Composition is a separate option for eligible taxpayers, with its own conditions and a different return path. Read the current eligibility on the portal before you opt in.
