What GSTR-1 is for
GSTR-1 reports supplies you made. It is not the return on which you pay the tax, and it is not a list of your purchases. A regular taxpayer uses it so the portal, and your business customers, can see outward invoices, debit notes, and credit notes for the period. The summary of tax you will actually pay sits on GSTR-3B, which should be reconcilable to this statement rather than rebuilt from memory.
Composition taxpayers, input service distributors, and people who only deduct or collect tax at source follow different tiles on the dashboard. If your registration type is not a regular taxpayer, do not force this form. The dashboard after login is the list that applies to you. The vocabulary of supply and tax heads is in and .
Map the sales register onto the tiles
Open the form and you will see separate tiles for different kinds of outward supply. Business-to-business invoices need the recipient GSTIN, invoice number and date, place of supply, taxable value, and the tax split. Larger inter-state invoices to unregistered persons are listed on their own tile; the form’s help text states the cut-off for that period, so read it rather than copying a figure from an old workbook. Smaller business-to-consumer supplies are usually consolidated by place of supply and rate.
Other tiles cover exports and supplies to a special economic zone, credit and debit notes, nil-rated, exempt and non-GST outward supplies, advances where the form still asks for them, an HSN or SAC summary, and a count of documents issued. The document-issued tile is where invoice numbers, including cancelled numbers, are accounted for. A gap in the series that the tile cannot explain is a question you want to answer before an officer does.
Business-to-business lines live or die by the GSTIN
Each business-to-business line is reported against the recipient’s GSTIN. A transposed character either fails validation or lands on the wrong customer, who then cannot see the invoice in their inward statement. Validate the number as explained in before import. Match the legal name from Search Taxpayer to the customer master at least for new accounts and for any GSTIN that has started to bounce.
Amendments, credit notes, and advances
A mistake in an invoice already filed is corrected in a later period’s GSTR-1 by an amendment that quotes the original invoice, or by a credit or debit note, depending on what went wrong. Posting the same invoice again as a fresh document double-counts the supply. The amendment tile asks for the original period and the original number. Keep both in the register so the person preparing the return is not guessing from a PDF filename.
Advances are the tile that changes meaning most often between goods and services. For some supplies the time of supply is the date of the advance; for others the invoice date governs and the advance tile stays empty. Read the tile help for the period you are filing. If your register has a column called “advance” that nobody has mapped to a rule, do not upload it blindly.
A credit note is not a fresh invoice with a minus sign
A credit note should point at the original supply, carry its own number and date, and reverse the taxable value and the same tax heads you originally charged. A credit note that flips IGST into CGST and SGST, or that reduces the value but leaves the tax, will not agree to the customer’s books. Link every credit note to the original invoice number in the register before it is eligible for the return.
A fittings wholesaler closing the period
Vikram sells electrical fittings from Indore. On the last working day of the tax period he freezes the sales register: no more backdated invoices, no more silent edits. He splits the rows into business-to-business, business-to-consumer, and any export or nil-rated lines. The Indore shop invoices carry central and state tax. The invoices delivered outside Madhya Pradesh carry integrated tax, for the reason recorded in the place-of-supply column.
He totals each tax head and parks that page next to the draft GSTR-1. Only after the tile totals match the frozen register does he look at the summary return. If a showroom invoice was cancelled, the document-issued tile must show the cancellation, and the tax total must not still include it. That pairing is the whole job. The is what he opens next, not a second copy of the same invoices typed by hand.
Quarterly filers and the invoice furnishing facility
Some regular taxpayers are allowed to file GSTR-1 quarterly and pay tax monthly under the scheme the portal calls QRMP, the quarterly return and monthly payment scheme. Eligibility is a portal option with conditions. If you opt in, your customers may not see invoices until the quarter ends unless you use the Invoice Furnishing Facility in the earlier months of the quarter. That facility exists so business-to-business invoices can reach the recipient’s inward statement sooner.
Do not assume you are quarterly because a colleague said the firm is small. The registration’s return calendar on the dashboard states the frequency. Switching schemes has a window. Miss the window and you stay on the old frequency for another quarter. The walks through both calendars so you can read your own dashboard without borrowing someone else’s dates.
A preparation checklist
Close GSTR-1 in this order. 1. Freeze the sales register and the credit-note register for the period. 2. Confirm each business-to-business GSTIN and the tax head against place of supply. 3. Drop cancelled invoices out of the tax total and into the document-issued count. 4. Map every live row to a tile, and leave a written reason for any row you are not reporting. 5. Import or key the tiles and match their totals to the register, head by head. 6. File amendments and credit notes that belong to this period, quoting the original invoice. 7. Download the filed acknowledgement and store it with the register you actually uploaded.
If a total will not match, stop. The usual causes are a credit note in the books only, a tax head typed as integrated when the supply was intra-state, or an invoice dated in the next period. Those are you can still fix before submission. After submission they become amendments.
What you still confirm on the portal
Due dates, the business-to-consumer cut-off printed on the tile, HSN digit requirements, and whether your registration is monthly or quarterly are all period-specific. This guide does not print them. Open the return calendar and the form help on the GST portal, and read any related notification on CBIC GST if the help text is ambiguous.
HSN summaries deserve the same discipline as invoices. The number of digits the form asks for can depend on turnover notifications. Use the prompt on the tile for that financial year. A summary that does not tie back to invoice lines is not a summary; it is a second set of books.
Frequently asked questions
Is GSTR-1 the form on which I pay GST?
No. GSTR-1 reports outward supplies. Tax is paid with the summary return, GSTR-3B, through the cash and credit ledgers. The two should be reconcilable for the same period.
Do I enter every consumer invoice separately?
Not always. The form lists some business-to-consumer invoices one by one and asks you to consolidate the rest. The tile help states the cut-off for the period you are filing. Read that help text.
How do I correct an invoice I have already filed?
Amend it in a later GSTR-1 by quoting the original invoice, or issue a credit or debit note, depending on the error. Do not upload the same invoice again as a new supply.
What is the Invoice Furnishing Facility?
It lets certain quarterly filers report business-to-business invoices in the first months of the quarter so recipients can see them before the quarterly GSTR-1. Check whether your registration is actually on that scheme.
Why does my customer say the invoice is missing?
Common reasons are a wrong GSTIN, a return not yet filed, or a quarterly filer who has not used the furnishing facility. Compare your filed GSTR-1 line with the GSTIN on their purchase invoice.
Should the HSN summary match the invoices?
Yes. The summary is a classification of the same outward supplies, not a separate estimate. If the totals diverge, fix the mapping before you file.
