A calendar is a list of obligations with empty date cells
Teams get into trouble when they paste a calendar from a blog or from last year WhatsApp group into this year diary. Form names get revised, extensions get announced, and a company class that used one annual-return form may not be eligible again. The useful MCA calendar is a table whose date column starts empty. You fill a date only after you have opened mca.gov.in and read the instruction that applies to this entity.
The map of what belongs in the table is . The annual slice is . This note is about the sheet itself: columns, row types, and the habit of refreshing it. practises a mixed file in a classroom; the sheet is what you should be able to build before you sit down.
Columns that make the calendar usable
Use eight columns and refuse a ninth that says “approximate date”. Obligation, in plain language. Entity and identifier (corporate identity number or LLPIN). Form name, written only after you have seen it on MCA. Trigger: a meeting, an event, or “annual cycle”. Owner: a named person, not “the CA” as a fog. Evidence: the minute, the signed PDF, the acknowledgement. Status: not started, filed, master checked. Due date: blank until copied from the portal, with the URL or the screen note stored in the last column so a reviewer can see where the date came from.
If two people share a login, the owner column still names one human who watches the row. Software can remind. It cannot decide that a director resignation happened. The trigger column is what stops the annual-only calendar from missing June.
Annual rows and event rows
Colour or tag the rows so nobody sorts an event into the annual pile. Annual rows exist because the year exists. Event rows exist because something happened. A company that allots shares in August adds a row that week. It does not wait for the annual return to “cover it”, unless the form instruction truly says the annual return is the only disclosure, which you verify rather than assume.
Rows you can sketch before the year starts
Sketch rows for financial statements (the AOC-4 family, variant unconfirmed), the annual return (MGT-7 or the shorter form if the instruction allows), auditor intimation if an appointment is expected (ADT-1), and director KYC (DIR-3 KYC). Leave every date blank. Add a row called “read MCA announcements” with a monthly owner, because KYC windows and extensions show up as announcements. Companies and LLPs get different annual rows. Do not put company form names on an LLP.
Rows you add only when something happens
Add a row when a director is appointed or resigns, the registered office changes, a charge is created or satisfied, shares are allotted, or the name changes. Look up the form that week on mca.gov.in and type its name into the row. The due date is the window on that form, counted from the event in your minutes. Write the minute date in the trigger column so the arithmetic has a start.
Keep GST and income tax on their own calendars
MCA is not the GST portal and not the income-tax portal. A single “compliance calendar” for a business can have three tabs. The MCA tab is this article. GST return dates belong on a tab whose source is the GST portal. Income-tax and TDS dates belong on a tab whose source is the Income Tax Department portal. Mixing the tabs is how a GSTR date gets typed into an ROC row.
The reason the three still belong in one workbook is that they read the same books. is that story. The incorporation sequence that creates the entity on the MCA tab is . Law around filings will keep moving; is a career note, not a date source. Dates still come from the portal.
A practical scenario
A two-director trading company is incorporated in June. The compliance associate opens a sheet the same week. Annual rows are sketched with blank dates: financial statements, annual return, first auditor intimation, director KYC. Event rows are empty except one: “first board and bank authority”, tied to the incorporation certificate, with the form left blank until they read whether anything must be filed for that meeting beyond what incorporation already captured.
In September a director resigns. The associate adds a row that day, looks up the cessation form on MCA, and types the window from the form help into the date cell, citing the screen. They do not copy a day-count from a chart that has no form name. At year end they fill AOC-4 and MGT-7 dates only after reading that year instruction. The sheet never contains a date this article invented, because this article invented none.
Checklist to build the sheet
1. Create the eight columns, including a blank due-date column and a source column. 2. Add annual rows for the entity type you actually have, with form names marked “confirm on mca.gov.in”. 3. Add a monthly row to read MCA announcements, especially for DIR-3 KYC. 4. Add event rows only when the minutes show an event, and look up that form the same week. 5. Put GST and income-tax dates on other tabs sourced from their own portals. 6. Name one owner per row. 7. After each filing, store the acknowledgement and check the master data. 8. At the start of the next year, duplicate the row labels and clear every date.
Refresh the calendar without copying last year
When the new financial year opens, copy the obligation labels if they are still true, then delete every date and every form variant you have not re-read. Eligibility for a shorter annual return can change because capital or turnover changed, or because the instruction changed. A date that was extended last year is not extended again unless a new announcement says so. The associate who clears the date column is doing the job. The associate who pastes last year column is creating next year penalty conversation, and the amount of any additional fee will be on the portal, not in this note.
Frequently asked questions
Why are there no due dates in this calendar article?
Because AOC-4, MGT-7, ADT-1, and DIR-3 KYC dates must be read on mca.gov.in for the cycle you are in. A printed date would be stale the moment an announcement moved it.
Can one calendar hold GST, tax, and ROC?
One workbook can, with separate tabs. Each date must cite its own portal. Do not type a GST date into an MCA row.
What goes on the calendar on incorporation day?
Annual rows with blank dates, a KYC-announcement row, and any immediate board or auditor row. Fill dates only from MCA. The registration sequence is a different article.
How do we handle an MCA extension?
Read the announcement, update the date cell, and store the announcement in the source column. Do not assume last year extension repeats.
Who should own a row?
A named person. A firm can prepare the form. The owner is the person who notices if the acknowledgement never arrives.
Are LLP annual forms on the same rows as company forms?
No. Give the LLP its own rows and confirm the LLP form names on mca.gov.in. Company form names do not transfer.
