Compliance starts in the books
Tax returns are extracts. If the extract has nowhere to come from, the return is a story. A small business needs a sales register, a purchase register, and a bank account used only for the business. Cash still happens. Write it down the week it happens. A shoebox in March is not a system, and it cannot support GST, income tax, or a company financial statement.
The free course is the double-entry version of this habit: journals, a trial balance, and a reason on each line. You do not need a large ledger package on day one. You do need a file another person could follow. The setup order for permissions and identity is the .
A minimum chart a small business can keep
Keep these accounts even when the business is tiny: capital or owner contribution, bank, cash, sales, purchases, and a short list of expenses you actually incur (rent, platform fees, professional help). Tag each sale with the invoice number and each purchase with the bill number. If you are registered for GST, add columns for taxable value and tax. If you are not, do not invent a tax column and do not collect tax.
Reconcile the bank every month. The reconciliation is the document that proves the registers are about this business and not about household spending that passed through the same account. Mixed accounts are the most expensive “small” problem, because every later filing inherits the mix. Pay yourself with a recorded drawing or, in a company, with a recorded salary or other lawful payment. Do not treat the company account as a personal wallet.
GST on top of those books
Decide registration using and the GST portal. Once you are registered, the sales register is the draft of the outward return and the purchase register is the start of any credit claim. Periods close on the GST calendar, which you copy from the portal. A small business that files from memory, without ticking invoices in the register, will repeat the same missing invoice every quarter.
If you are not registered, your books still matter for income tax. They simply do not carry GST. Charging GST without a registration, or forgetting to charge it after you are registered, are both bookkeeping failures before they are portal failures. Mark the registration status on the first page of the register so a new helper does not guess.
Income tax on top of the same books
The annual return starts from the profit the books show, then applies the law for that year. A proprietor reports business income in the individual return. A company reports as a company. The form and the computation differ. Read the year on the Income Tax Department portal. This note does not state a rate, a rebate, or a turnover threshold for any presumptive scheme. If a scheme exists for your facts, read its conditions there before you rely on it.
The return
walks the portal workflow. Bring a trial balance, not a folder of unlabelled UPI screenshots. If the bank reconciliation is open, the return is early. File the person who actually earned the income. A brand name is not a taxpayer.
TDS you deduct or suffer
When a customer deducts tax from your receipt, book the gross sale and the TDS asset. When you deduct on a payment, book the gross expense and the tax you must deposit. and, where the payment is wages, are the reading. Thresholds and rates are on the income-tax system for the year. A small payroll still needs a payslip that matches the deduction.
If the business is a company, ROC reads these books too
Company financial statements are the accounts, approved by the board and filed with the Registrar. The trial balance that supported the income-tax computation is the trial balance that supports those statements. is the bridge. Form names and dates, including the financial-statement form and the annual return, are confirmed on mca.gov.in. A small company is not outside that duty merely because the team is small. Class and threshold rules are on MCA and in the Act. Read them for the year.
An LLP similarly files its annual information from its accounts. A proprietorship stops at GST, if registered, and income tax. Do not build a Registrar folder for a business that has no corporate identity number or LLPIN.
A practical scenario
A neighbourhood trader in Indore sells dry goods from a rented shop. He keeps a separate current account, a sales register, and supplier bills. He reconciles the bank on the first Saturday of each month. GST is filed from the register for the periods the portal assigns, because he is registered. His income-tax papers start from the same register, so the turnover in the return has a home. Household expenses never enter the account. When he hires a counter assistant, he checks whether TDS on salary applies before the first payslip, using the current income-tax instruction.
A packaged-food or natural-products business has the same accounting spine, with a food-licence question added. A brand in that category, such as Nofarming, would still need FSSAI where the product requires it, GST where the supply is liable, and income-tax compliance like any other product business. This example does not describe the filings or licence status of that business. The FSSAI site is where a food business reads its own position. The books do not become optional because the product is perishable.
Checklist for a monthly close
1. File every sales invoice and purchase bill into the registers. 2. Reconcile the business bank account and list unexplained lines. 3. If you are GST-registered, tie the register to the period you are about to file on the GST portal. 4. Mark TDS suffered on receipts and TDS you must deduct on payments, after reading the current rule. 5. Record owner drawings or company payments to founders as their own lines. 6. If a company or LLP exists, note any MCA event and confirm the form and date on mca.gov.in. 7. Lock the month so later edits leave a trace. 8. Once a year, carry the same file into the income-tax return and, where the vehicle requires it, into the Registrar statements.
Frequently asked questions
Do I need accounting software on day one?
You need registers and a bank reconciliation. Software helps when the invoice count grows. A tool that nobody updates is not books.
Can I use my personal account for a few months?
Open a business account before the habit sets. Mixed money makes GST, income tax, and any company account harder to defend.
Does a small turnover remove income-tax filing?
Filing depends on the person and the law for the year. Read the income-tax portal. Do not treat “small” as an exemption you have not checked.
Where do GST due dates live?
On the GST portal for your registration and return type. Copy them into your calendar from that page.
Does a food brand skip any of this?
No. FSSAI, where it applies, is additional. GST and income tax still follow the supplies and the profit. This article does not state a licence category.
When do these books become ROC filings?
When the business is a company or an LLP. Confirm the annual form and the date on mca.gov.in, and file the accounts the board or partners have approved.
