What the statement is for
Depositing tax and reporting tax are separate acts. A challan moves money. The quarterly statement tells the Department which PAN the money belongs to, which category of payment it was, and how much was deducted. Without the statement, the payee's tax-credit view stays empty or short, and the certificate cannot be generated cleanly. is the deduction. This note is the report.
The statement is filed for a quarter, for a deductor TAN, on the e-filing system the Income Tax Department provides. Corrections are later statements, not silent edits in a spreadsheet that was never uploaded. Keep the acknowledgement and the validation report with the quarter folder.
Statement types you must not mix
Salary withholding is reported on the quarterly statement practitioners know as Form 24Q. Payments to residents other than salary are reported on Form 26Q. Payments to non-residents, and tax collected at source, have their own statement types. Using 26Q for salary, or 24Q for a professional fee, puts the credit in the wrong shape even if the rupees match. If you are unsure which statement a payment belongs to, classify the payment first, then read which form the portal asks for that class.
Each quarter stands on its own and also has to agree to the challans of that quarter. A deduction in June belongs in the quarter that contains June, against the challan that paid it. Shifting an entry to a later quarter to meet a deadline misstates both quarters. feeds 24Q. Contractor, rent, and professional payments feed 26Q when the payee is a resident.
What a line in the statement contains
A deductee line carries PAN, name, the amount paid or credited, the tax deducted, the tax deposited, and the section or category the utility asks for. The category must match the voucher you classified at payment time. A wrong category at a correct amount is still a wrong line. If you are not certain of the section number, describe the payment in the file and select the category only from the utility's list for that quarter, not from memory.
Challans have to be consumed, not reused blindly
Each challan has a number, a date, a BSR code, and an amount. The statement consumes that amount across deductee lines. Over-consuming a challan fails validation. Under-consuming it leaves tax that belongs to nobody. Reconcile challan totals to line totals before upload. A challan for the wrong assessment-year label is a bank-side correction, not a narration you can fix inside the statement alone.
Due dates live on the portal
The due date for a quarter's statement is published by the Department and can differ for the last quarter, for government deductors, or after a notification. Copy it from https://www.incometax.gov.in/ into the compliance diary for that TAN. This article does not state a calendar date. A date you remember from a previous financial year is a prompt to look, not a date to file on.
Late statements can attract a fee under the Act, and late deposits can attract interest, at amounts the Finance Act sets and caps. Those amounts change in the way fees do. Read the current rule and the utility's own fee computation. include treating the fee as optional because the tax itself was deposited.
One quarter for a company with staff and a consultant
A company has eight employees and one freelance consultant in the quarter. Salary deductions, deposited against each employee PAN, go to Form 24Q with the salary detail that form demands. The consultant's fee, if it was a professional payment and not wages, goes to Form 26Q with its own challan consumption. Two statements, one TAN, one quarter. The employee credits will later appear for . The consultant's credit will appear for Form 16A.
Before upload, the payroll register for the quarter equals the 24Q deductee total, and the consultant voucher equals the 26Q line. The sum of both equals the challans only after you remember they are different statements. A single combined spreadsheet exported to the wrong form is the usual way these quarters fail validation at 6 p.m. on the due date you looked up that morning.
Checklist for a quarterly statement
Close the quarter on paper first. 1. List challans: number, date, BSR code, amount. 2. List deductees by statement type, not in one undifferentiated sheet. 3. Match PAN and name to the master. 4. Match category to the voucher classification. 5. Prove line totals equal challan totals for that statement. 6. Read the portal due date for this quarter and this deductor. 7. Upload through the official utility, save the validation report, and file. 8. Download the acknowledgement into the quarter folder.
Corrections follow the same folder: what changed, which original acknowledgement, which correction number. makes the challan-to-line proof a required page, because the portal's acceptance file is not a substitute for it.
After the statement is filed
Certificates are generated from accepted statement data. If a PAN was wrong, correct the statement before you promise the payee a certificate. The payee's view on the e-filing portal updates after processing; it is not instant on your upload. Tell the payee which quarter you filed so they know when to look.
Keep TAN, authorised signatory, and digital signature or the verification method the utility demands in a place more than one person can reach. A statement nobody can sign is a statement that misses the date you copied so carefully from the portal. Name a backup signatory in the quarter folder, test that they can actually sign before the week of the deadline, and store the signed acknowledgement next to the challan list so a later correction starts from a known file rather than from a mailbox search.
Frequently asked questions
Is the TDS statement the same as the income-tax return?
No. The statement is the deductor's quarterly report of tax withheld. The payee still files their own income-tax return and claims the credit there.
Which form is for salary?
Form 24Q is the quarterly statement for tax deducted from salary. Non-salary resident payments ordinarily go on Form 26Q. Confirm on the utility for the quarter.
Where is the due date?
On https://www.incometax.gov.in/ for that quarter and deductor. Dates move. Copy the date from the portal into the diary.
The tax is deposited. Why file a statement?
The challan moves the money. The statement allocates it to PANs. Without allocation, the payee may not see the credit.
Can I correct a PAN after filing?
File a correction statement and keep both acknowledgements. Issue the certificate only after the corrected data is accepted.
Where are certificates produced from?
From accepted statement data, downloaded by the deductor from TRACES at https://www.tdscpc.gov.in/. Use that site's help for the quarter.
